Terms & Conditions – Louis James-Parker Ltd
Thanks for choosing to work with Louis James-Parker Ltd. To keep things clear and professional for both parties, here’s a breakdown of our terms. These apply to all estimates, bookings, and deliverables unless agreed in writing.
Working Together
By accepting an estimate or commissioning a project, you agree to these terms.
Project Scope & Pricing
All estimates and quotes are based on the agreed project brief. If the scope changes – more filming days, extra edits, or changes to the brief – we’ll update the quote accordingly.

Booking & Payment
To begin your project, a 50% deposit is required.
A further 25% is invoiced halfway through production.
The final 25% is invoiced upon completion of the project and is due within 30 days of the invoice date.
Final files may be delivered before full payment is received, but you are not licensed to use, publish, or share the content until payment has been made in full.
Late payments may result in suspension of future work and may incur additional charges.
Expenses
The following may be added to the final invoice:
Travel (50p/mile or ticket costs)
Parking, tolls, and congestion charges
Accommodation or flights if needed
Equipment hire or specialist crew (e.g. drone ops, actors)
We’ll always aim to be transparent about any extra costs. Unless covered upfront, expenses will be added to the final invoice.
Revisions
Our estimates/quotes include two rounds of revisions. Further changes will be charged at £75+vat/hour. We’ll always check with you before extra time is added.
To keep things running smoothly, please provide feedback within a reasonable time so we can stay on schedule. If you request delivery or completion by a specific deadline, but delay in providing your revision notes or sign-off, we may not be able to meet your requested timeline. In such cases, revised deadlines will be rescheduled based on our next availability.
Shoot Days & Timing
A full-day shoot includes up to 10 hours, including breaks and 1 hour lunch. Travel time of up to 30 minutes each way is included. Longer journeys may shorten the filming day or require additional costs.
We do not offer half-day rates, but can discuss flexible solutions depending on the brief.
Music & Licensing
If your project requires licensed music, the cost of the music licence will be added to the project. This varies depending on usage type and platform.
Delivery & File Storage
We’ll deliver your final video in an agreed format, ready to use.
You are responsible for backing up the files. We recommend making at least three copies. While we’ll do our best to archive work, we can’t guarantee storage after delivery.
Raw footage and project files are not included unless agreed in writing.
Usage of Raw Footage
Raw footage is not included in your licence unless agreed separately in writing. If you require access to raw files, this may incur an additional fee and specific licensing terms.
Content Ownership & Usage
All rights to the footage and materials created remain with Louis James-Parker Ltd until full payment is received.
The final delivered piece is intended to be used as provided. It may not be re-edited, altered, or broken into parts by the client or any third party without written permission. This protects the integrity of the work and ensures consistency with our creative standards.
Once paid in full, you are granted a non-exclusive, non-transferable licence to use the final video for your own business purposes, globally, forever – unless stated otherwise in writing.
What you can’t do without permission:
Resell the content
Use content in ways we deem offensive or inappropriate (e.g. hate speech, false claims, or illegal activity)
Transfer usage rights to a third party
We reserve the right to use snippets for our portfolio, website, and social media unless you request otherwise in writing. If you do opt out, a charge may apply to cover the value of waived promotional usage rights.
Cancellations or Rescheduling
We understand things happen. If you need to cancel or move a shoot:
More than 14 days in advance: no charge (except any booked third-party costs)
Within 14 days: 25% of the shoot fee
Within 7 days: 50% of the shoot fee
Within 48 hours: 75% of the shoot fee
Any third-party hire (studio, kit, crew) that has already been booked may still be chargeable.
Liability
We always aim to deliver on time and to a high standard. However, Louis James-Parker Ltd cannot be held liable for any delays, losses, or cancellations due to events beyond our control. This includes (but is not limited to):
Illness or medical emergencies
Adverse weather conditions
Technical faults (e.g. data loss, equipment failure)
Transportation disruptions
Force majeure events such as natural disasters, strikes, or war
We are also not liable for indirect or consequential losses including lost revenue, missed opportunities, or reputational damage.
We reserve the right to refuse, pause, or withdraw from any project that may breach legal, ethical, or creative standards, including content involving hate speech, misinformation, or illegal activity.
Data Protection
We only collect and store information necessary to deliver your project or communicate with you. We will never sell or misuse your data. For more information, see our privacy policy.
Intellectual Property / Client-Supplied Materials
You confirm that any content you provide (logos, music, imagery, branding) is owned by you or fully licensed for use. You are also responsible for obtaining any necessary model release forms for individuals featured in the video. Louis James-Parker Ltd is not liable for copyright or privacy claims resulting from client-supplied materials or individuals filmed without consent. Storage Duration
We retain final project files for 30 days after delivery. After this, we may delete them unless you’ve arranged extended storage with us.
Retainer or Subscription Clients
Separate terms may apply to retainer or subscription agreements. These will be agreed in writing as part of the onboarding process.
Rush Fees / Priority Turnaround
If a fast turnaround is requested outside normal timeframes, this may incur a rush fee. We’ll always agree this with you before the project commences.
Final Notes
We may update these terms at any time. If anything significant changes, we'll notify you in writing. Continued use of our services after updates means you accept the revised terms.
This agreement is governed by English law, and any disputes will be handled by the courts of England and Wales.
